Our service is quite simple. It was designed for the Chiropractor who simply needs to have the phone handled during weekday business hours. Many offices have online scheduling and we encourage and integrate with that type of system. But the reality is that new patients want to know that there is someone available by phone. Many established patients are not comfortable with online systems. And many offices allow for special schedule accommodations for busy days that might not be available in an online calendar. 

The idea was that for a low set monthly fee, the independent doctor could manage his own practice and focus on growth rather than taking phone calls or losing patients. The base plan includes 200 minutes of calls, after which scheduling calls are billed incrementally per minute. Again, only the calls that make the doctor money (to schedule appointments) cost money.  Other calls are routed to voicemail, staff or to the doctor, according to doctor’s preference.

What you will pay each month:

  • $150 – One Time Setup Fee billed with the first month
  • $225 – Recurring monthly base fee (charged for the current month)
  • $ Overages from prior month – billed at $1 per minute for scheduling calls only that exceed the 200 minutes included with the recurring monthly base fee.

note: Many of our client offices never pay more than $225.00 per month. 

What you will get:

  • We will take calls for your office, Monday through Friday, 9am to 6pm, regardless of your office hours. No more worrying about calls coming in during lunchtime. No more taking calls yourself while you are treating patients, running errands or on your days off. No more missing calls. 
  • We will be here to alert you to urgent issues so you can stay focused on patient care.
  • We will perform patient call-outs upon your request to reschedule, or collect additional information, etc. 
  • We will schedule according to your preferences and needs (cluster booking, etc.)
  • We allow you to optimize the use of your and your on-site staff’s time to do billable and mission critical tasks without interruptions from incoming calls.

The Off Site Staff Difference:

  1. WE KNOW CHIROPRACTIC – Unlike other virtual reception services, we already know Chiropractic. No more having to retrain your front desk over and over and over. We have been doing this for a long time. And our clients’ stay with us for the long haul which is proof that our service is a vital asset to their practices. 
  2. HIGH VALUE AT LOW COST – Our system is designed to allow for the economies of shared resourcing while serving the patients just as you would have. While we won’t follow call scripts, we do know how to onboard new patients and make our doctors look good. 
  3. YOU ARE IN CONTROL – We provide your office with an unpublished phone number to which you will forward calls coming to your published incoming line. You retain full control of your incoming calls and can redirect your phone at your discretion.
  4. WE ONLY START ACCRUING CALL TIME TO YOUR PLAN WHEN THE PATIENT CHOOSES TO SPEAK TO THE SCHEDULING DESK. Unlike other virtual reception services, we do not charge for every minute of system residence time for an incoming call. Time is accrued only when the call goes to an Off Site Staff reception desk. So no more paying for spam marketing calls. 
  5. VOICEMAILS MESSAGING IS FREE – Doctor or office-directed Voicemail messages do not accrue time to your account. In an initial outgoing message, vendors, lawyers, records requestors, etc. are invited to leave a message for the doctor or staff.
  6. VOICEMAILS ARE DELIVERED TO YOU – Messages left for your office are attached to an email to your personal or office email address of choice. Again, at no additional charge. 
  7. WE LEARN YOUR PRACTICE LIKE AN EMPLOYEE WOULD – As part of our account setup process, we meticulously develop a custom practice profile for our internal reference as we learn about your own business and begin to schedule your patients. 
  8. WE INTEGRATE WITH YOU and/or YOUR STAFF – And we will work with you and/or your staff to coordinate how best to integrate our service to suit your needs. We also are happy to consult with you about how we can meet your unique needs. 
  9. THIS IS NOT JUST ANOTHER HUGE RECEPTION BUSINESS – Finally, we are unique because we are not trying to develop a scalable business. We have no competition because we are not paying employees. If we were, we could not operate on such affordable rates with such highly trained and personalized service. We have a limited clientele because we are the sole operators of this business. That means that our clients enjoy a long lasting working relationship without the hassles of training and retraining new Off Site Staff with the frequent turnover that is typical of other virtual reception services. And we will provide a reasonable amount of intercommunication texts and emails and voicemail communications to you or your staff at no charge. We are here for you and here to stay for as long as you need us.
